As we continue to grow, we are seeking a highly organized and detail-oriented Order Fulfillment Coordinator to join our team.

Tasks and Responsibilities:

• ·        Receive and review customer orders from various sales channels, including our website and social media platforms.
• ·        Verify order details, including product availability, pricing, shipping address, and payment information.
• ·        Schedule deliveries using logistics partners such as DHL, Quiqup, and Track-POD.
• ·        Coordinate with the Warehouse team to ensure timely and accurate order dispatch.
• ·        Prepare the orders and make them ready for collection either for deliver orders or pick-up orders.
• ·        Resolve any order discrepancies or issues promptly and effectively.
• ·        Communicate order status updates to customers in a professional and courteous manner.
• ·        Arrange and manage invoices accurately and on time.
• ·        Coordinate with the finance department to resolve invoice discrepancies (if any).
• ·        Verify payment records, identify fraud payments and ensure timely check processing.
• ·        Issue VAT credit notes as required (for returned local items).
• ·        Retrieve and organize customs clearance documentation as a part of invoicing process.
• ·        Liaise with finance for processing product returns and refunds.
• ·        Approve delivery-related payments for logistics partners (DHL, Quiqup, Track-POD).
• ·        Handle petty cash and verify driver’s payment transactions.
• ·        Monitor and maintain accurate inventory levels for order fulfillment supplies.
• ·        Collaborate with the Warehouse team to conduct regular stock checks and reconcile any discrepancies.
• ·        Coordinate shipping and logistics operations, including carrier selection and scheduling.
• ·        Prepare shipping labels, invoices, and other necessary documentation for outbound shipments.
• ·        Track and monitor shipments to ensure timely delivery and resolve any delivery issues.
• ·        Handle returns and exchanges in accordance with company policies.
• ·        Assist customers with inquiries related to order status, shipping updates, and product information.
• ·        Addressing customer concerns, resolving complaints, and answering questions promptly and accurately.

Process Improvement:

• Identify and propose process improvements to enhance order fulfillment efficiency and customer satisfaction.

• Collaborate with cross-functional teams to implement new processes or tools.

Qualifications:

• High school diploma or equivalent. Bachelor’s degree preferred.

• Proven experience in order processing, fulfillment, or a similar role within the e commerce industry.

• Familiarity with luxury brand names, pre-owned items, and authentication processes are highly desirable.

• Strong organizational skills with excellent attention to detail.

• Exceptional multitasking and time management abilities.

• Proficient in using order management systems and e-commerce platforms.

• Excellent written and verbal communication skills.

• Customer-focused mindset with a dedication to providing outstanding service.

• Ability to work independently and as part of a team in a fast-paced environment.
