Executive Secretary – Hospitality

Job Description

We are seeking a professional Executive Secretary to provide high-level administrative and organizational support to hotel executives, the Hotel Apartment Manager, and department heads. The role focuses on enhancing executive efficiency through effective schedule management, document handling, internal coordination, and support for strategic and operational initiatives.
Responsibilities:
  • Manage executive schedules, appointments, and travel arrangements
  • Prepare reports, presentations, and official documents
  • Handle executive correspondence, including emails and phone calls
  • Liaise between senior management, departments, and external stakeholders
  • Coordinate meetings, conferences, and internal events
  • Ensure smooth communication across the organization
  • Handle sensitive information with discretion and manage legal documentation
  • Ensure compliance with corporate policies and hotel industry standards
  • Assist in decision-making through data provision and insights
  • Support project management and operational tasks for executives
  • Maintain records and management databases
  • Oversee office supplies, budgeting, and administrative expenses
  • Manage executive office logistics and hospitality arrangements
  • Implement best practices for organizational efficiency

Requirements

  • Bachelor’s degree in Business Administration, Hospitality Management, or a related field
  • Minimum of 3 years of experience as an executive secretary, preferably in the hospitality industry
  • Strong organizational and multitasking abilities
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office
  • Ability to work under pressure and handle confidential matters professionally
  • Strong interpersonal skills with a customer-service orientation
