Administrative Assistant – F&B and Culinary

Job Description

OVERVIEW/BASIC FUNCTION:
Manages and organizes the office work of the kitchen F&B department to the highest professional standards. Executes assigned tasks independently and with the necessary confidentiality demanded from his position. Attends to the daily schedules of the Director of F&B and Executive Chef
RESPONSIBILITIES:
• Assists the Director of F&B and Executive Chef in all administrative matters.
• Weekly update of F&B and Culinary Roasters, by communicating with head section and managers
• Weekly update of Daily attendance, and monitoring of extra hours and accurate reporting to T&C and Management
• Support application of Leave and overtime for F&B and Culinary team ( provide explanation and guidance on how to utilize the system)
• Prepare department Daily attendance report for payroll cut off
• Prepare extra hours report
• Administers the central filing system of the Chef and F&B offices.
• Provides support to the Culinary and F&B team for administrative Talent & Culture Procedures ( ITP, Departmental Onboarding, forms submission, Etc.)
• Ensure proper procedures are being followed within the F&B and Culinary offices and that no access is being given to others. Ensures that passwords for confidential files stored in the system are not accessible to other users.
• Ensures proper message handling, telephone calls and follow-up pending items for and on behalf of the F&B and Culinary department.
• Works on Word, Power Point, Excel as required
• Ensures proper availability of office supplies and printed matters related to the Culinary and F&B offices.
• Prepares and distributes function sheets, material list according to standards given.
• To be aware of training handouts, hotel facilities, fire procedures, job description and employee handbook
• Carries out other administrative duties as needed.
• Prepare power point for F&B activation and promotion
• Prepare monthly happening and update all the details with outlet managers and confirm with marketing team
• Remind the F&B team of all the mandatory training
• Coordinate logistics and hotel bookings for all popup and collaboration events as needed
• Attend daily calling and share important info a needed
QUALIFICATIONS:
• Experience: Minimum one year’s experience in a similar capacity for a 4 or 5-star hotel or
restaurant.
• Education: High school diploma.
• General Skills: Must be able to perform job functions with attention to detail, speed and accuracy.

• Technical Skills: Ability to enforce hotel’s standards, policies and procedures with all kitchen and F&B
personnel: ability to prioritize, organize and delegate work assignments; ability to direct performance of kitchen staff and follow up with corrections where needed; ability to motivate kitchen staff and maintain a cohesive team; ability to promote positive work relationships with service personnel and other departments; ability to
     ascertain staff training needs and provide such training, proficiency with Microsoft
     Office products; ability to type a minimum of 45 words per minute.
• Language: Required to speak, read and write English, with fluency in other languages preferred.
• Physical Requirements: Must be able to exert physical effort, endure various physical movements throughout
the work areas, reach up and down, remain stationary at times throughout work periods, and satisfactorily communicate with guests and co-workers to their understanding.
