Admissions Coordinator

The Role
We are seeking an Admissions Coordinator to provide comprehensive administrative and operational support to the Admissions and Recruitment team. This role is central to ensuring an efficient, accurate, and student-focused admissions process, while maintaining compliance with university policies and procedures.
The successful candidate will manage application processing, admissions decisions, offer and rejection communications, scholarship administration, and student record management. This is a highly administrative role requiring strong attention to detail, data accuracy, and the ability to manage multiple priorities in a fast-paced environment.
Main Duties and Responsibilities
Admissions Operations & Applicant Support
- Act as a key point of contact for prospective students and families, providing clear and accurate information on admissions processes and entry requirements.
- Review and evaluate applications to make accurate admissions decisions and issue offers and rejections within agreed turnaround times.
- Follow up on outstanding documentation to ensure timely and complete applications.
- Participate in recruitment events, open days, and university fairs, including on-the-spot offer creation when required.
Systems, Records & Data Management
- Create, update, and maintain accurate applicant and student records on the Student Information System and SAP.
- Ensure all applicant data is entered correctly and updated promptly when new or revised documentation is received (e.g. academic results, passport details, address changes).
- Maintain data integrity and consistency across all systems to support accurate reporting and compliance.
- Update scholarship and discount information in line with verified documentation and approved decisions.
Scholarships, Reporting & Collaboration
- Support the fair and transparent allocation of scholarships and discounts in line with university policy and principles of equality and diversity.
- Analyse admissions data and trends to support informed decision-making and process improvement.
- Collaborate with academic departments and professional services teams to enhance the admissions journey and overall applicant experience.
Team Support & Continuous Improvement
- Contribute to initiatives aimed at improving admissions efficiency, accuracy, and service quality.
- Demonstrate a proactive approach to problem-solving and continuous improvement.
- Maintain a professional, student-focused approach at all times.
Other Requirements
- Flexibility to work evenings and weekends during peak admissions periods and recruitment events.
- Willingness to attend local recruitment and outreach activities as required.
Candidate Requirements
Qualifications & Experience
- Bachelor’s degree from a recognised university (required).
- Minimum 1–2 years’ experience in a university admissions or higher education administrative role (required).
- Experience using Student Information Systems for admissions processing and offer generation (required).
- Experience in a UAE higher education environment (desirable).
- Knowledge of SAP, Meritto, or similar systems (desirable).
Skills & Abilities
- High level of accuracy and attention to detail (required).
- Strong written and verbal communication skills with a customer-service focus (required).
- Strong organisational and multitasking abilities with the capacity to meet deadlines (required).
- Ability to work independently and collaboratively as part of a team (required).
- Ability to handle confidential information in line with data protection requirements (required).
- Proficiency in Microsoft Office, including Excel and Outlook (required).
