Examinations Officer – Yasmina British Academy

Job Description

To organize, manage and conduct internal and external examinations for the Secondary school in accordance with the rules and regulations of the examination boards.  To ensure that the school is always beyond reproach in the conduct of its examinations.

Responsibilities

Main Duties  

  • Liaise with a wide range of internal and external stakeholders, including students, parents, Heads of Departments, Heads of Years, teachers, reception staff, site staff, IT staff and awarding organisations • Be aware of examination changes each academic year and communicate any changes to SLT and Heads of Department
  • Manage invigilators – this includes training new invigilators and updating existing invigilators on rules and regulation changes on an annual basis
  • Update examination-related policies
  • Manage the examination entry process, including gathering information from teaching staff to ensure that students’ examination entries are made correctly and on time, making amendments/withdrawals etc.
  • Communicate examination entry process to parents and students
  • Manage the examination preparation process. This includes preparing examination timetables for students and staff; creating seating plans for each examination room; briefing candidates, staff and parents; receiving, checking and securely storing confidential examination materials; administering internal assessment etc.
  • Support the process relating to access arrangements (for example; supporting the SENCo in making applications, rooming, training invigilators, managing emergency access arrangements etc.)
  • Manage examination days in accordance with awarding body regulations, including preparing for each exam day, starting an examination, dealing with emergencies, irregularities and malpractice, ending the examination, collecting the examination scripts and packing and dispatching examination scripts
  • Conduct all staff training on examination regulations
  • Contingency plan for examinations
  • Manage examination results – his includes accessing results electronically/downloading results from awarding body secure sites and preparing for results to be disseminated to each student/candidate and SLT
  • Deal with requests and administering post-results services
  • Issue examination certificates
  • Administer external examinations (GCSEs, A Levels, CATs, GL assessments, PISA, TIMMS, MOE) in line with awarding bodies and their regulations.
  • Support the internal examinations process (mock and end of year examinations) – including coordinating the examination Timetable in conjunction with Heads of Department and Heads of Year, communicating this to students and parents.
  • Facilitate examination entries via Engage and the examination bodies entry systems, including the entries for MOE, PISA and TIMMS examinations.
  • Liaise with finance regarding entries and examination costs
  • Liaise with external parties such as named media outlets when publicizing examination results
  • Organize all examination results day celebrations (this includes events such as awards evenings and celebratory breakfasts) for parents and students
  • Support with the end of year results upload to ESIS
  • Coordinate Board exams results entry onto Esis for years 11, 12 and 13
  • Manage and monitor the results change documentation and process for ADEK
  • Support with the QA of curriculum information booklets to ensure examination/assessment information is accurate, including KS4 & KS5 Options and Curriculum offer booklets.

Qualifications

Minimum Qualifications  
‘A’ Level/NVQ/High School Certificate (will need to be attested)

Minimum Experience    
Experience in similar role

Job Specific Knowledge & Skills   
– Use of Microsoft Office, Results Plus and Cambridge examination portals, Engage and ESIS
– Excellent literacy and communication skills (both written and spoken) as a large part of the role involves communicating with SLT, exam board representatives (including moderators and assessors), Heads of Department, students and parents
– The confidence to design and conduct training on examination procedures for staff and students
– Overall the successful candidate will be an enthusiastic, solution focused professional who has a flexible approach to work, one who is willing to take initiative, work as part of a team in an high achieving organisation and hit the ground running
