Job Description

Position Summary

The Receptionist serves as the first point of contact for students, staff, visitors, and external stakeholders. This role ensures a welcoming, professional, and efficient front-desk experience while providing administrative and clerical support to maintain smooth office operations.

Key Responsibilities

  • Greet and assist students, faculty, staff, and visitors in a courteous and professional manner.
  • Manage incoming calls, emails, and inquiries, directing them to the appropriate departments.
  • Maintain the reception area to reflect Ajman University’s professional image.
  • Schedule and coordinate appointments, meetings, and room bookings as required.
  • Provide basic information about Ajman University programs, services, and facilities.
  • Support administrative tasks such as filing, photocopying, and handling correspondence.
  • Assist in distributing internal communications and mail.
  • Ensure compliance with university policies and procedures in front-desk operations.
  • Handle confidential information with discretion.
  • Provide additional support to office staff during events, student recruitment activities, or peak operational periods.

Qualifications & Skills

Education:

  • High school diploma or equivalent required; diploma/degree in Administration or related field preferred.

Experience:

  • 1–2 years of experience in reception, front office, or customer service roles.
  • Experience in higher education or service industries is an advantage.

Technical Skills:

  • Proficiency in MS Office (Word, Excel, Outlook).
  • Familiarity with office equipment (telephone systems, printers, photocopiers).
  • Knowledge of CRM or student information systems is a plus.
